eSignature for Clients

Signing and Submitting Documents

Overview

eSignature is Reconnect's digital document signing feature that allows clients to review, fill, and sign documents electronically — all from within Reconnect Community. There's no need to leave the app, print anything, or use an external browser. Clients can sign documents that are sent to them by staff, or initiate certain documents on their own when permitted.


How Clients Receive Documents

When a staff member assigns a document for a client to sign, the client receives:

  • A task notification in their task list

  • An automated message in their Reconnect room

These notifications let the client know a document is waiting for their action.


Signing a Document

The client signing process is designed to be simple and self-contained within Reconnect Community:

  • Notification — The client receives a task notification and an automated message in their Reconnect room

  • Access — The document opens directly within Reconnect Community (no external browser required)

  • Sign — The client completes their assigned fields and adds their signature

  • Confirmation — Once submitted, the system sends a notification to all parties confirming the signature

  • Completion — When the last required signature is collected, the document status changes to Completed and a copy is automatically saved to the client's My Documents section


Client-Initiated Documents

In some cases, clients can start a document themselves rather than waiting for a staff member to send one. This is available when staff have configured a template to allow client initiation.

The process for client-initiated documents:

  • The client accesses available forms in the Community app

  • The client selects and initiates a document from an approved template

  • The document is automatically routed to the appropriate Signing Group on the staff side

  • The client reviews and signs their portion of the document

  • A staff member from the assigned Signing Group completes the remaining signature

Note: Clients cannot assign a document to a specific staff member by name. Documents are routed to a Signing Group (such as "Probation Officer Group" or "Case Manager"), and any user within that group can respond.


Viewing Form Submissions

Clients can review all of their eSignature submissions in one place under My Account > Form Submissions.

The Form Submissions view displays:

  • Date of assignment creation

  • Form title

  • Filled status — whether the client has completed their portion

  • Document status — overall status of the document (e.g., Waiting Signatures, Completed)

  • View option to access the form content


My Documents

Once a document has been fully signed by all required parties, a completed copy is automatically saved to the client's My Documents section for their records. Clients can access these documents at any time without needing to request a copy.


Important Things to Know

Document Expiration

To keep the system efficient, documents that have no activity for 90 days are automatically marked as Expired. If a document expires before all signatures are collected, the client will need to request a new copy from their staff contact.

Cancelled or Removed Documents

If a document is cancelled or removed by staff, the client will no longer be able to sign it. Cancelled and removed documents are deleted from document storage after 3 days.

Account Deactivation

If a client's account is deactivated in the system, all of their pending (non-completed) eSignature documents are automatically cancelled. Documents that were already completed before deactivation remain saved in My Documents.


Tips for Clients

  • Check task notifications regularly — New documents to sign will appear in your task list

  • Review the document carefully before signing — make sure all the information is correct

  • Don't wait too long — documents expire after 90 days of no activity

  • Contact your staff member if you have questions about a document, can't access a form, or need a copy of a completed document
